Your employer chose PinkLinq and runs your account. This page is a plain guide for you. The full rules are in our Privacy Policy, and your employer may have its own policies too. Employers can share this page with their teams, but it doesn't replace any notice the law asks them to give.
What your employer can see
Depending on the modules your company uses and the role of the person looking, your managers and admins can see:
- your profile: name, contact details, photo, job, store and start date
- your schedule, shift swaps, and your clock-in and clock-out times, with location if your company uses it
- your timesheets, time off, and pay rate if your company entered one
- documents you've signed, forms you've sent, and courses and quizzes you've completed
- notes and recognition about your work
What your employer can't see through PinkLinq
- your PIN or your authenticator codes
- your Face ID or fingerprint, which stay on your phone
- where you are when you're not clocking in or out, because PinkLinq doesn't do that
- your phone's contacts or your other apps
- your voice or video calls, which aren't recorded
About chat. PinkLinq isn't built as a private channel from your employer. Messages are stored on the company's account, and a company can have reasons and rules for reviewing them. Don't assume your employer can never see a message. Ask them what their policy is.
How location works
- If your company uses location, your location is read only at the moment you clock in or out, and it's saved with that punch.
- Automatic clock-in is on iPhone only, and only if you turn it on yourself. Your iPhone notices when you arrive at or leave your store, and the app clocks you in or out. PinkLinq learns only "arrived" or "left".
- You can turn location off in your phone's settings. Your company may then ask you to clock in another way, such as a store kiosk.
Things you control
- Your notifications, and what shows on the lock screen
- An app lock with Face ID on your phone
- Two-step sign-in, for extra protection on your account
- The list of devices signed in to your account, and removing any of them
- Deleting your account: Profile → Sign-in & security → Delete my account. You're signed out straight away, and your personal details are erased after 30 days. Your employer keeps work records the law requires, such as hours, without your details.
Who to ask
Your employer answers questions about your hours, pay, schedule, time off, your role, and what the company does with your information. We don't set your pay or your schedule, and we can't change what's on your timesheet.
Check your hours. PinkLinq records what happens, but phones lose signal and people forget to clock out. If something looks wrong, tell your manager as soon as you can. If you think you've been paid wrongly, you can talk to your state's labor department or the US Department of Labor. Using PinkLinq doesn't change your rights at work.
We answer questions about the app itself and privacy requests, through support@pinklinq.com. If you ask about something your employer controls, we'll need to send it to them.
For employers
Some places require a written notice or consent before you track or monitor workers electronically. New York and Connecticut are examples, and more states have similar rules. Turning on location is your decision, and giving the notice is your job, under section 4 of our Terms of Service. Ask your own lawyer what applies to you.
