These terms add to our Terms of Service for the AI assistant module.
It's off unless you turn it on
The AI assistant is a module like any other: nothing shows and no data goes to the AI provider until your company's Owner turns it on. Turning it off stops it at once. It's only available on plans that include it, and the plan page shows which.
What it does
It does two things, and nothing else:
- Answers questions from your company's own knowledge base articles, using only the ones the person asking is allowed to read, and shows which articles it used.
- Helps with writing. A manager can ask it to draft an announcement, or to make text clearer, shorter or friendlier, or fix its grammar.
It doesn't take actions in your account, make changes on anyone's behalf, read your chat messages, or look at hours, pay or schedules. There are daily limits per person and per company.
Your data and training
- We send the provider only what the task needs: the question and the articles used to answer it, or the text you asked it to rewrite.
- We don't use your content to train AI models.
- Our AI provider, Anthropic, is named on our sub-processors page. Its commercial terms say it doesn't train its models on what's sent through its API.
- What it writes for you is yours to use, as far as we have any rights in it. Different companies may get similar answers to similar questions.
Use it with care
AI makes mistakes, and it can sound sure while being wrong. You are responsible for what you do with its answers, and for checking them before you rely on them or share them. An answer about a policy is only as good as the article behind it, so people should go to the article itself for anything that matters.
You must not use the AI assistant:
- to make or help make decisions about hiring, firing, promotion, pay, discipline or anything else with a significant effect on someone
- for legal, medical, tax or financial advice
- to create content that breaks our Acceptable Use Policy or the provider's usage rules
- to develop or train other AI models
If your team uses what the assistant writes, tell them if the law where you are expects you to.
No promises
The AI assistant is provided "as is", under section 21 of the Terms of Service. We may change the model behind it, its limits, or how it works, and we may stop it if the provider's service changes or if it causes problems.
