How to use it
Enter each day's start and end time. Add any unpaid break in minutes, such as 30 for a meal break. Leave a day empty if the person didn't work. The hours update as you type.
If a shift runs past midnight, enter it as it happened: start 10:00 p.m., end 6:00 a.m. The calculator counts that as an 8-hour shift on the day it started.
Hours are shown in decimals, which is what most payroll systems want. So 7 hours and 45 minutes is 7.75.
Minutes to decimal hours
| Minutes | Decimal |
|---|---|
| 5 | 0.08 |
| 10 | 0.17 |
| 15 | 0.25 |
| 20 | 0.33 |
| 30 | 0.50 |
| 40 | 0.67 |
| 45 | 0.75 |
| 50 | 0.83 |
Things to watch
Unpaid breaks must be real. You can only subtract a meal break if the person was completely free from work. Short rest breaks of around 20 minutes or less are paid under federal rules, so don't subtract those. Some states have their own rules, which we cover in our break guide.
Your workweek matters. Federal overtime is worked out per workweek, a fixed period of seven days. Enter days for the workweek you've set up. It doesn't have to start on Monday.
Keep the original times. Keep the actual start and end times as well as totals. Federal rules say to keep time cards for at least two years.
Rounding can get you in trouble. If you've been rounding times to the nearest quarter hour, read this first. The calculator here doesn't round.
Doing this for your whole team?
Adding up one person's week is quick. Doing it for 25 people, every week, while reading their handwriting, is how a Friday disappears. Here's what changes with a time clock app:
- People clock in on a phone or a shared tablet, and the hours are worked out for them.
- Overtime and paid time off are calculated by week.
- Mistakes get fixed with a reason, and every change is logged.
- You download a ready file for Gusto, ADP, QuickBooks, Paychex or Square.
PinkLinq is free for up to 10 people. We've got a two-week plan for moving off paper, and you can download a free timesheet template if you'd rather stay on paper for now.
