Requests without the sticky notes
An employee taps Time off, picks the dates and the policy, and sends it. You get a notification and approve or decline. That's the whole loop, and there's a record of it afterward. Nobody's left wondering whether you saw a text from three weeks ago.
They can see their own balance before they ask. It shows what's available today, what's left after upcoming approved time off, and how many hours are in pending requests. That cuts down on a lot of "how many days do I have left?" questions.
Policies that fit how you actually do it
Create a policy for each kind of leave, such as vacation, sick days or personal days, and mark each as paid or unpaid. Then choose how people earn it:
- Unlimited. No balance to track, though requests still get approved.
- Yearly. A set number of hours granted once a year.
- Monthly. One twelfth of the yearly amount added each month.
You can set how many hours carry over at year end, or let people keep everything. You can also allow a balance to go below zero by a set number of hours, for the person who needs two days off before they've earned them.
Part days work too. Someone can take a Tuesday afternoon, and it comes out of their balance in hours.
If you're not sure what numbers to use, try our PTO accrual calculator.
Every change on the record
Balances work like a bank statement. Starting balance, accruals, grants, adjustments, time used, carryover and expired hours all show up as lines. If someone disputes their balance, you can show exactly how it got there. Manual adjustments stay on that record too.
It connects to the rest of the app
The schedule. Approved time off shows on the week view, so you don't schedule someone who's away. Auto assign takes it into account too.
Payroll hours. Approved paid time off is added to that person's hours for the pay period and included in the payroll file. If a request crosses the edge of a pay period, only the days inside that period count.
Notifications. Managers hear about new requests, and employees hear the answer. Nobody has to go looking.
Set it up in a few minutes
- Open Time off and add your first policy. There's a list of common types to start from.
- Choose paid or unpaid, the accrual type and the number of hours.
- Assign it to everyone or to selected people.
- Enter starting balances for anyone who's already earned some.
Then tell your team where to find it, and stop accepting requests any other way. That last step is what makes it stick.
What about the law?
Paid sick leave rules vary a lot from state to state and even from city to city. We give you the tools to track hours however you set them, but we can't tell you which policy your location requires. Check your state or city labor department before you settle on the numbers. If you want a starting point for the conversation with your team, here's a free time off request form.
What it costs
Time off is in the HR & Skills hub on every plan. You're free for up to 10 people, and Basic costs $14.50 a month billed yearly, covering your first 30 people. If you only want schedules and time off, you can buy just those two hubs.
